5. Service Engagement & Agreements

Before work begins:

  • Requirements will be discussed and agreed

  • Timeframes will be outlined where possible

  • Pricing or charging structure will be confirmed

  • Any specific confidentiality or handling requests must be communicated

By agreeing to proceed, the client confirms acceptance of these terms.

6. Pricing, Payment & Invoices

Pricing will be:

  • discussed clearly before work begins

  • either hourly, per-task, per-project or package-based

  • invoiced following completion or on agreed schedule

Invoices are payable within the timeframe stated on the invoice.

We reserve the right to:

  • require deposits for certain work

  • pause or refuse additional work if invoices remain unpaid

  • apply reasonable charges for late payments in line with UK law

    Refunds, Returns & Cancellations Disclaimer

    Due to the nature of our services, including administrative support, secretarial assistance, document preparation, transcription, virtual assistant services, print coordination and any related professional services, all fees are strictly non-refundable once work has commenced.

    By instructing Amersham Secretarial Services to proceed with any service, you acknowledge and accept that:

    • We do not offer refunds for change of mind, change of circumstances or subjective dissatisfaction.

    • Deposits, booking fees and upfront payments are strictly non-refundable.

    • Where work has started, whether partially completed or fully completed, the client remains responsible for full payment of agreed fees.

    • Completed work or work already delivered does not qualify for a refund under any circumstances.

    • Where third-party services are involved (such as print suppliers), their refund terms apply and we are not responsible for external refund decisions.

    • If work must cease due to inappropriate, illegal, unethical or unsafe material being provided, no refund will be issued and completed work remains chargeable.

    We may, at our sole discretion, agree to reasonable amendments or corrections where genuine errors are proven to be caused by us; however, this does not constitute entitlement to a refund, compensation, service reversal or waiver of fees.

    Nothing in this disclaimer affects statutory rights under UK law.

7. Confidentiality

We understand the importance of privacy and confidentiality. All client information, documents and communication will be handled with discretion and will not be shared with third parties except:

  • where legally required

  • where necessary to deliver services with client consent

We strongly recommend clients do not send extremely sensitive personal data unless necessary.

8. Accuracy, Responsibility & Client Obligations

Clients are responsible for:

  • providing accurate and clear instructions

  • supplying correct information and documents

  • checking completed work where applicable

While we take great care and professionalism in all work, final responsibility for use of prepared documents rests with the client.

We do not provide legal, financial, medical or professional advisory services unless explicitly stated.

9. Turnaround Times

We always aim to meet agreed deadlines. However, timescales may vary depending on workload and client responsiveness. If delays occur, we will communicate where possible.

We are not liable for delays caused by third parties, circumstances beyond our control or client failure to supply required information.

10. Intellectual Property

Unless otherwise agreed:

  • Clients retain ownership of their original materials

  • Created documents become the client’s property upon full payment

  • Website content remains the property of Amersham Secretarial Services and must not be copied without permission

11. Limitation of Liability

We are not liable for:

  • indirect, consequential or business losses

  • data loss or corruption

  • errors resulting from incorrect client information

  • misuse of documents by the client

  • any loss resulting from website downtime or availability

Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence where UK law applies.

12. Data Protection & Privacy

We comply with UK Data Protection laws and GDPR principles.

Personal information is handled securely and used only for service provision, communication and business administration.

13. AI-Assisted Services Disclaimer

For AI-supported services:

  • All work is human reviewed

  • AI is used as an efficiency tool only

  • We do not guarantee AI-generated accuracy in all cases

  • Sensitive personal or legal reliance requires client verification

Client remains responsible for final usage and decisions.
